The purpose of the position
is to assist the Regional Representative, the whole Regional Office and
when needed, DCA partners, in visibility and communication efforts and
in managing the content of media work in both Uganda and Denmark in
order to meet the growing demand for visibility, information and
documentation. It also entails building and maintaining external
relations to facilitate hosting of volunteers, interns as well as other
visitors, as well as to undertake research and documentation in support
to advocacy initiatives.
The Communication & Relations Officer is a key member of the DCA Great Lakes Regional Office (GLRO). The CO works under the supervision of and in close collaboration with the Regional Representative. Furthermore, technical support and guidance is to be provided by the DCA Media Team in headquarters, in particular for planning and coordination of tasks relating to Danish media and fundraising in Denmark.
Communication and Visibility (60%)
Overall • Develop and keep updated an annual communication and visibility plan for the DCA GLRO (with an activity plan).
• Design and Publication of DCA GLRO annual report, newsletters, etc.
• Provide training of partners where necessary in communication and visibility work. MR
Communication • Write stories on regular basis in different DCA/ Danish media (English website, magazines, newsletters, newspapers, etc.) and Ugandan media.
• Keep the DCA Info bank updated.
• Contribute and access to photo archive, mini-videos, etc. Design maps, etc.
• Assist RR in external media and press work interventions; represent DCA GLRO in such media (radio, TV, press releases, etc.).
• Contribute to ACT communication through articles and photos.
• Assist the office and partners in fulfilling its accountability commitments in terms of transparency (HAP) and information sharing (HAP).
• Develop a network of media contacts within Denmark and Uganda.
MR
Visibility • Keep DCA Uganda English website updated and accurate.
• Keep DCA GLRO written presentation of its work up to date
• Support in any ways, through advice and tips, the DCA GLRO team in improving its overall visibility.
• Design and develop visibility materials where required (e.g. for projects) but in particular a short brochure describing DCA activities in Uganda targeting donors and update the DCA GLRO presentation flyer.
• Assist the office and partners in fulfilling its accountability commitments in terms of transparency (HAP).
Facilitation of volunteers and visits to our Regional Office (25%)
• Plan and implement a programme (including an introduction course) for volunteers to GLRO
• Take lead in planning and organising visits of other visitors including the media to Uganda, when and where such visits has communication or fundraising relevance in Denmark or Uganda.
• Identify suitable partners and host families for volunteers and interns, and maintain the relation and communication to these.
• Be the main contact person for volunteers while in the country.
• Manage all logistics in relation to volunteers, interns and other visitors. MR/ JR
Documentation (10%)
• Contribute to research and documentation work in support of development of advocacy strategies and campaigns.
Other tasks and duties (5%)
General and other specific tasks
• Take active and constructive part in the teamwork at the DCA GLR Office.
• Carry out your work diligently and efficiently, respecting deadlines and other colleagues’ workload and priorities.
• Wherever possible suggest changes that can be made to improve the performance of DCA GLR Office.
• Ensure that excellence in performance by the partner is recognized and such cases may be brought to the attention of the RR.
• Build and develop meaningful and effective relationship with partners at all levels and other NGOs in Uganda and with other people of importance to DCA s work.
• Take active part in the discussion and developing strategies, Vision and Plan, etc.
• Assist in the emergency operations of DCA and any other duties assigned as the situation may demand.
• Assist in building up an inventory of consultants and capacity building institutions relevant to the work of DCA. JR
As a target, 50% of the Communication & Relations Officer's time should be registered on programmes cross-cutting.
The Communication & Relations Officer must not undertake any other direct or indirect business and work, honorary or remunerative in addition to the work performed for DCA, except with the written permission of DCA Regional Representative.
Without prejudice to the roles and responsibilities given here above you are liable to do such other duties and functions, as are incidental and ancillary to your principal duties and functions.
